Cancellation and refunds

This policy explains what happens if a trip is cancelled, by you or by us. It forms part of our booking terms.

Cancelling your booking

Cancellations must be made in writing to your consultant and take effect on the day we receive them. Because we commit funds to lodges, camps, airlines and ground operators on your behalf, charges depend on how close to departure you cancel.

The scale below is the structure the policy will take. 

  • More than [90] days before departure: loss of deposit
  • [89] to [60] days: [percentage] of the trip cost
  • [59] to [30] days: [percentage] of the trip cost
  • [29] to [15] days: [percentage] of the trip cost
  • Fewer than [14] days or no show: 100 per cent of the trip cost

Non refundable elements

Some costs cannot be recovered regardless of notice, including issued air tickets, park fees already paid, visa fees and any supplier deposit that is non refundable by its own terms. These are deducted before any refund is calculated.

If we cancel

We will only cancel a confirmed trip in exceptional circumstances, such as a safety risk, a government restriction or a supplier failure that leaves no viable alternative. Where we cancel for reasons within our control, you may choose a full refund of monies paid to us, or an alternative trip of equivalent standard.

Force majeure

Where a trip cannot proceed because of events outside reasonable control, including natural disaster, epidemic, civil unrest, strike action or airspace closure, we will refund whatever we are able to recover from suppliers after deducting unrecoverable costs. We will always pass on the full amount recovered.

Unused services

No refund is due for any part of a trip you choose not to take once it has started, including unused accommodation, activities or transport.

How refunds are paid

Approved refunds are paid to the original payer by the original payment method within [number] working days of agreement. Bank charges and currency movement between payment and refund are not covered.

Travel insurance

Most cancellation losses are recoverable under a good travel insurance policy where the reason for cancelling is covered. This is why insurance is a condition of booking, and we strongly recommend arranging it as soon as your trip is confirmed rather than close to departure.
